Adding multiple rent types to the lease agreement

Assetti has 5 default main rent types:

  • Rent
  • Service charges
  • Utility charges
  • Other rent
  • Custom rent

You can add more specific types to the lease agreement by adding sub-types to the above mentioned main categories using the rent type mapping function. The process consists 3 steps.

Step 1. Create a new rent type map

You have two options to choose from. For a smaller amount of data, adding it in the user interface is a good option whereas larger amount of data is better to add via import functionality.

A. In the user interface

  1. Click on your username > Rent types
  2. Click +ADD button to create a new rent type map.
  3. Enter a name for your map > Save
  4. Info tab > Add button to create a new sub-type. Enter at least the following data in the edit panel:
    • Rent code: numerical value to identify the rent type. If you don't have the code, you can specify a string of random numbers, such as 001, 002 etc.
    • Rent description: a short text to describe the rent type. Not mandatory.
    • Rent type: select one of the defaults in the dropdown menu.
  5.  Save.

B. With import functionality

You can download Assetti import template "Rent type" or use your own spreadsheet (xls or csv). If you choose the latter option, data fields need to be mapped accordingly.

  1. Click on your username > Import
  2. Click on the link to download Assetti import template.
    • Skip the step if you use own spreadsheet.
  3. Add the data (rent code and rent type are mandatory). Save the spreadsheet and click on Start New Import.
  4. Select the import type > Rent type > Continue
  5. Drop or Upload the file.
    • Choose the file type if you use own spreadsheet.
  6. Map the data by clicking "Automatically map using header row" if they are not mapped > Continue
  7. Review the results > Finish.

Step 2. Link property to the rent type map

You can have more than one rent type map in your account, but only one map per property. Thus, all leases in the same property have the same rent type map. 
  1. Click on your username > Rent types
  2. Open the map you wish to use.
  3. Go to the Link properties tab > Link
  4. You can link or unlink multiple properties at once.
  5. Save

Step 3. Adding a sub-rent type to the lease

You can add the sub-types to the leases according to the structure specified by the mapping. For a smaller amount of data, adding it in the user interface is a good option whereas larger amount of data is better to add via import functionality.

A. In the user interface

  1. Go to the Leases
    • Na_ytto_kuva_2021-10-5_kello_10.17.21.png Table view > select the lease by clicking on its Contract ID or
    • Na_ytto_kuva_2021-10-5_kello_10.16.15.png List view > select the lease by clicking on its tile
  2. Periods tab > click on the pencil icon of a selected period > Edit rents button
  3. Click on the + icon > Select the sub-type from the dropdown menu > Add the rent amount and VAT% (if used).
    • Repeat as many times as needed to add multiple sub-types.
  4. Save

B. With import functionality

You can download Assetti import template "Rents by rent type" or use your own spreadsheet (xls or csv). If you choose the latter option, data fields need to be mapped accordingly.

  1. Click on your username > Import
  2. Click on the link to download Assetti import template.
    • Skip the step if you use own spreadsheet.
  3. Add the data and notice that column "Rent type code" must not be empty. Save the spreadsheet and click on Start New Import.
  4. Select the import type > Rents by rent type > Continue
  5. Drop or Upload the file.
    1. Select the date format to match the one used in the spreadsheet.
    2. Select the currency and measurement system if different than default.
    3. Choose the file type if you use own spreadsheet.
  6. Map the data by clicking "Automatically map using header row" if they are not mapped > Continue
  7. Review the results > Finish.
